Bates numbering for email correspondence: why and how

Sequential numbering turns a stack of emails into a document you can cite page by page and compare across copies. Where it helps, how to switch it on when ordering a PDF archive, and what a number alone does not prove.

What Bates numbering is

Bates numbering is sequential page identification: every page gets a unique marker such as ARCH-000001, ARCH-000002 and so on. It came from legal practice, where pointing at one page out of a thousand is easier than describing it — the Ivanova email of 12 March, second page.

  • Internal archives use it too, wherever several copies of one set have to be reconciled.

Why number an email set

Numbering solves three practical problems.

  • References: a protocol, letter or act can cite a page number, and the other side finds it without a chain of clarifications.
  • Copy reconciliation: if the set was transferred twice, matching numbers show the copies are identical.
  • Completeness: an unbroken sequence without gaps is visible at a glance.

Where to switch it on in eml-pdf.com

Numbering is applied to the single chronological PDF you can order on top of the individual message PDFs.

  • In the same request you pick the order — oldest first or newest first — and can add a contents page; undated messages go last.
  • It is also worth enabling SHA-256 checksums, so the archive ships a file with hashes of the packaged PDFs and attachments.
  • When the set leaves the company, stamp the PDF pages — CONFIDENTIAL, PRIVILEGED, DRAFT or your own text — and pick a template: standard, clean, or branded with a company name in the footer.

How to check the result

Before processing, review the preflight inventory: discovered messages, attachments, duplicates, warnings and how many messages count toward the free allowance.

  • After conversion, open the contents page and the manifest.csv or manifest.xlsx index — the status of every message should match what you expected.
  • The errors.csv report lists messages that did not process: their absence from the PDF is a visible failure to investigate, not a silent loss.
  • Finally, download the archive before the one-hour access window ends and keep it next to your source export.

What a number does not prove

A page number helps you cite and compare; by itself it proves nothing about authenticity, completeness of collection, authorship or legal admissibility.

  • Checksums work the same way: SHA-256 lets you compare file bytes before and after transfer, but it says nothing about who created the original message or when.
  • PDFs and hashes are tools for reading and reconciling; conclusions about evidence belong to your procedure and your jurisdiction.

A short checklist

Record the source and the export date.

  • Keep the original message files — they remain the primary record.
  • Order the merged PDF with numbering and a contents page.
  • Reconcile the index and the error report against the expected set.
  • Enable checksums and verify them after download.
  • Fetch the package within the hour and keep your own copy independent of the service.
