Internal reviews and employee correspondence: what to keep and how
An internal review starts with a written question, not with an upload. How to preserve correspondence carefully: limited access, untouched source files and readable copies that are easy to work with.
Write down the question first
Put in writing which employees and which period the review covers, which mailboxes are in scope and what result you need — a table of messages, readable copies, or both.
- A clear scope saves time and prevents the temptation to grab everything.
- It also explains later why exactly these messages are in the archive.
Work from a copy, protect the source
Export the correspondence to EML, MSG or MBOX and file it in a dated folder of its own: export 2026-09-10, mailbox …. Everything that follows — conversion, renaming, inspection — happens on the copy.
- Keep the original closed and unedited: even an accidental header edit looks like interference if someone finds it later.
Limit access
Only the people who need the material for the task should reach it, and a recorded list of names is better still.
- Put the export in its own folder or drive, not on a shared drive just in case.
- Mind company policy and personal-data requirements: usually half the correspondence is irrelevant — narrow the period and participants upfront.
What conversion gives you
Per-message PDFs are easy to read and annotate; the manifest.xlsx index sorts by sender, subject, date and status; the errors.csv report shows which messages failed and why.
- Attachments stay as separate files tied to their parent message.
- A chronological merged PDF, page numbering and SHA-256 checksums can be added on request.
- One failed message never hides the results of the others.
Record what you did, in order
Keep a simple log: export date, who made it, which file was uploaded, how many messages were expected, when the result was downloaded.
- Store it with the archive, the error report and the checksum file.
- If someone later asks where these PDFs came from, the answer fits in one line instead of a chain of recollections.
What the service does not do
eml-pdf.com does not pull mail out of your systems, does not place a hold on deletion, does not classify content and does not draw conclusions about employees.
- It turns an export you already made into a readable set with an inventory.
- Decisions about motives, consequences and actions are yours; the service issues no opinion on the authenticity or admissibility of materials.
Short checklist
Write the scope.
- Make a dated export and work from the copy.
- Close access name by name.
- Run a small trial batch and check the index.
- Download the result and record exactly what you received.
- Keep sources, archive, report and log in one protected place.
